How We Use Your Data
We use personal data for the following purposes:
To deliver our services: Fulfilling the scope of work agreed in your SOW, communicating with you about your engagement, and managing your account.
To respond to enquiries: If you fill out a form or email us, we use your data to respond and follow up as relevant.
To send relevant communications: With your consent, we may send you emails about our services, new offerings, or content we think is relevant to you. You can unsubscribe at any time.
To improve our website and services: Analytics data helps us understand what is working and what is not.
For legal and compliance purposes: Retaining records of contracts, invoices, and communications as required by law.
We do not sell your data. We do not use your data for advertising purposes unrelated to our own services. We do not share your data with third parties except as described in Data Sharing.
Legal Basis for Processing
For users in the European Union, United Kingdom, or other jurisdictions with similar data protection laws, our legal basis for processing personal data is:
- Contract: Processing necessary to deliver the services you have engaged us for
- Legitimate interests: Processing for internal analytics, business development, and improving our services, where this does not override your rights
- Consent: Where we ask for your explicit consent (for example, newsletter subscriptions)
- Legal obligation: Where we are required to process data to comply with applicable law
Third-Party Tools and Data Processing
In delivering our services and operating our business, we use a range of third-party tools. Some of these tools process personal data on our behalf. We only use tools that meet adequate standards of data protection.
Current and anticipated tools include the following categories:
CRM and Contact Management Tools such as HubSpot are used to store contact records, manage client communications, and track engagement history. Data stored includes name, email, company, and communication history.
Email Marketing and Automation Tools such as Mailchimp, Customer.io, and similar platforms are used to send email communications. These platforms store email addresses, open and click data, and subscription preferences.
Analytics and Website Tracking We currently use Vercel Web Analytics, a cookieless analytics tool that reports aggregated, anonymous traffic data (such as page views and referring sites) without setting cookies or identifying individual visitors. We may in future adopt tools that require consent, such as Google Analytics 4 (GA4) for traffic and behaviour, Google Search Console for search performance, or heatmap and session recording tools such as Microsoft Clarity or Hotjar; these would only be enabled after you consent through the cookie banner. None of these tools capture passwords or payment information.
Project Management and Communication Tools such as Notion and Slack are used internally for project management and team communication. Client-related information shared in these tools is handled in line with this policy.
Video and Content Tools Tools such as HeyGen, Canva, and similar platforms may be used in the production of content deliverables. These tools may process images, scripts, or other content you provide.
AI and Language Model Tools We use AI-powered tools for research, drafting, data enrichment, and workflow automation. We do not input your confidential business data, customer personal data, or sensitive financial information into any AI tool without your explicit written consent. Any AI-assisted work that reaches you has been reviewed, edited, and approved by a member of our team.
Payment Processing Payments are processed via third-party infrastructure including Razorpay, Wise Business, and Stripe where applicable. We do not store card numbers, bank account details, or payment credentials on our systems.
Outbound and Prospecting Tools In delivering demand generation for clients, we may use tools such as Apollo, Clay, and similar platforms for list building, data enrichment, and outreach. These process publicly available professional contact data.
Scheduling and Communication Tools such as Calendly are used for booking calls. Calendly collects your name, email address, and any other information you provide at the time of booking.
Cloud Storage and File Sharing We use Google Workspace for email, document creation, and file storage. Client files are stored in Google Drive with access restricted to relevant team members only.
We periodically review the tools we use and update this section accordingly. If a new tool materially changes how we process your personal data, we will update this policy and notify active clients.
Data Sharing
We do not sell, rent, or trade your personal data to any third party. We share data only in the following circumstances:
Service delivery: With the third-party tools listed above, strictly to the extent necessary to deliver our services.
Legal compliance: Where we are required to disclose information by law, court order, or regulatory authority. We will inform you of any such request where legally permitted.
Business transfers: If Keewee is acquired, merges, or transfers its business assets, your data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.
We do not share your data with any advertising networks, data brokers, or third parties for their own marketing purposes.
International Data Transfers
Keewee is incorporated in India. If you are based in the European Union, United Kingdom, or another jurisdiction with data transfer restrictions, your data may be transferred to and processed in India and other countries where our third-party tools operate.
Where such transfers occur, we rely on appropriate safeguards including standard contractual clauses, adequacy decisions, or the data processing agreements of our tool providers. If you have questions about international data transfers, contact us at team@keewee.in.
Data Retention
We retain personal data for as long as necessary to deliver our services and meet our legal obligations. Specifically:
Active clients: Data is retained for the duration of the engagement and for five years after it ends, to meet accounting, legal, and audit requirements.
Prospects and enquiries: Contact data from people who enquired but did not become clients is retained for up to two years, then deleted or anonymised unless you have consented to ongoing communication.
Website analytics: Aggregated and anonymised analytics data may be retained indefinitely. Individual session data follows the default settings of the analytics tool, typically 14 months for GA4.
Email subscriptions: Retained until you unsubscribe or request deletion, whichever comes first.
When data is no longer needed, it is securely deleted or anonymised so it can no longer be linked to an individual.
Cookies
Our website uses cookies to understand how visitors use the site and to improve the experience.
Essential cookies: Required for the website to function. These cannot be disabled.
Analytics cookies: Used to collect anonymised data about how visitors use our site, including pages visited, time on page, and traffic source. These are set only if you accept them, and are never loaded before you do.
Preference cookies: Used to remember settings or choices you have made on the site, including your cookie choice itself.
When we use non-essential cookies, we ask for your consent through a banner the first time you visit. Nothing beyond essential cookies is set until you accept, and you can decline with equal ease. You can change your mind at any time by clearing this site's cookies in your browser, which brings the banner back. We do not use advertising or retargeting cookies on our own website.
At present the only analytics we run is Vercel Web Analytics, which is cookieless and requires no consent (see the Data We Collect Automatically and Third-Party Tools sections). We set no advertising, retargeting, or other non-essential cookies. If we introduce any cookie-based tracking, this policy and the consent banner will be updated and your consent requested before it is enabled.

Right to access: You can request a copy of the personal data we hold about you.
Right to correction: You can ask us to correct any inaccurate or incomplete data.
